Our Terms & Conditions were last updated on Sunday 7th July 2024.

We are Love Trails Festival Limited. Our registered office is at 11 Ilston Way, West Cross, Swansea SA3 5LG and our company number is 10590706. 

You can find everything you need to know about us, our events and our services on our website before you order your tickets. We also confirm the key information to you in writing before or after you order, either by email or in your online account.

1. Terms & Conditions

a. In these Terms & Conditions, “Event” means the Love Trails Festival for which you have purchased one or more tickets, “the Promoter”, “we”, “us” and “our” means Love Trails Festival Ltd and any associated promoter(s) of the Event; “you”, “your”, “ticket holder’ and “guest’ means you, the ticket holder, and any other individuals for whom you have bought a ticket; “ticket” means the ticket you have purchased to attend the Event (including any wristband which permits you to attend the Event); “Site” means the site (including camping area) on which the Event is held; “Terms” means these Terms and Conditions.

b.       All tickets are sold subject to these Terms. Purchase and/or use of a ticket to enter the Event constitutes acceptance of these Terms and Conditions by you and by any person for whom you have purchased a ticket.

c.       We may alter or change these Terms at any time by publishing revised terms on our website.

d.       You agree to comply with any requirements or statements printed on the tickets, posted or announced at the Event or posted on our website, which will also form part of these Terms.

e.       If you breach of any of these Terms, we reserve the right to cancel the ticket/s and eject the offender/s and retain all monies paid.

2. Age Policy

a.       We do not allow any ticket holder under the age of 16 to attend the Event unless they are accompanied by a responsible adult aged 18+ (Adult). Any adult accompanying an under 16 must be able to provide acceptable ID on request. We cannot be responsible for looking after anyone under the age of 16 (except so far as required by our general duties to all ticket holders). Anyone aged 16+ may enter the Event unaccompanied but we strongly recommend that anyone under 18 is under the supervision of an Adult. Again, we cannot be responsible for looking after anyone under 18 (except so far as required by our general duties to all ticket holders). 

b.       Proof of age may be required on entry to the Event and when purchasing alcohol and to participate in certain activities. Details of age limits will be posted on our website or made clear when booking or attending each activity or event. 

c.       Our challenge 25 policy will be in operation across the whole festival site. If you look under 25 then we may ask you to prove that you are over 18 in order to buy alcohol.

d.       We accept the following forms of ID: Photo Driving or Provisional Driving License, Passport and Proof of Age Card with PASS (hologram) logo. We reserve the right to refuse admission to any ticket holder if our staff or agents are in any doubt that the ticket holder meets our age requirements.

3. Tickets and wristbands 

a.          The price of the tickets is set out on our website. Before you complete your purchase, please check your details carefully as mistakes cannot always be rectified afterwards. Tickets are not issued on a sale or return basis and we have no obligation to offer a refund.  

b.          You may only exchange or re-sell your ticket(s) on our website and subject to availability. We will notify you if/when this facility becomes available and it is your responsibility to list the tickets you wish to sell or exchange on our website. Paragraph 12 gives further details. No other resale or exchange is permitted and we reserve the right to cancel any tickets which we believe have been resold or exchanged in any other way, without offering any refund. We reserve the right (in our discretion) not to make available any exchange or resale facility on our website or at all. In such circumstances, you will not to be able to exchange or re-sell your tickets.

c.          Tickets may not be used as part of a promotion, competition, advertising, or given away as part of a product or service package or for commercial gain without our permission. Any attempt to do so will result in the ticket being cancelled and any person holding such a ticket will be refused entry to, or ejected from, the Event without any right to a refund.

d.          You will only be admitted to the Event if you are able to present a valid ticket or wristband.

e.          We may exchange your ticket for a wristband on entry to the Event. Please look after your wristband as you will need if you leave the site and want to re-enter at a later point. We reserve the right to refuse (re-)admittance you if you are not able to show your wristband or ticket.

f.           We also reserve the right to refuse entry to anyone whose ticket or wristband is defaced or altered in any way. We will not be liable or responsible for lost, stolen or defaced tickets or wristbands. Replacement tickets or wristbands will only be issued at our discretion if we are satisfied with the reason why the replacement is required, you have provided proof of purchase and you pay an administration charge. Nevertheless, it is not always possible to issue replacement tickets.

g.          Tickets, wristbands or other forms of accreditation to the Event shall at all times remain our property and we may recall them at any time.

h.          In order that we can process ticket-holders’ registration and health and safety information, ticket holders must be registered on our website via their ticket purchase. Accordingly, any tickets bought or acquired other than on our website will not be valid.

4. Payment

a.       Unless we have agreed for you to have a payment plan in accordance with paragraph 11, we reserve the right to charge you the full amount for the ticket(s) you are purchasing when we accept your order for the tickets.

b.       If we're unable to collect any payment you owe us we charge interest on the overdue amount at the rate of 3% a year above the Bank of England base rate from time to time. This interest accrues on a daily basis from the due date until the date of actual payment of the overdue amount, whether before or after judgment. You pay us the interest together with any overdue amount. Alternatively, we reserve the right to cancel your order for tickets if you fail to pay us any payment which is due. In this event, we will not refund you any sums already paid.

5. Entry Policy and prohibited items

a.       On entry to the Site, you must permit us or our agents to carry out a search of bags and other items which you have with you, upon request.

b.       The Site contains a working farm. Accordingly, you may not bring onto the Site any articles which we consider to be a risk to the safety or enjoyment of others, a risk to security, otherwise unsuitable or inappropriate to be brought onsite, which are or may be used in an illegal or offensive manner (regardless of whether or not the item itself is illegal) including those on the prohibited items list below. 

The following are prohibited items:

●    Alcohol not bought on Site (you may only drink your own alcohol in the campsites).

●    Drones

●    Glass – for safety reasons (due to the Site containing a working farm) absolutely no glass is allowed on the Site.

●    Stereo or audio systems (including bluetooth and wired speakers) other than for personal use (ie not audible to others).

●    Illegal substances.

●    Portable laser equipment and pens.

●  Unauthorised professional film or video equipment.

●    Audio recorders.

●    Air Horns.

●    Fireworks, flares or Chinese Lanterns.

●    Any item which may be considered to be a weapon.

●    Animals (other than well-behaved dogs, which must be kept on a lead at all times)

●    Gas Canisters (except in the campsite for cooking).

c.       We reserve the right to eject and refuse future entry to any person who has brought on to the Site or is found in possession of any of the above articles or items. No refunds will be made.

d.       Dogs are allowed on the Love Trails Festival site, so long as they are on the lead at all times. Dogs must be well-behaved, and Love Trails Festival staff reserve the right to ask the handlers of any misbehaving or off-lead dog to immediately leave the site and remove their dog. We reserve the right to refuse re-entry to any such individual and no refund will be made.

6. Changes to the Event, events and activities

a.       We reserve the right in our absolute discretion to cancel or postpone the Event in its entirety if we consider that there is a serious risk to the health, security or wellbeing of participants (for example, in the event of extreme bad weather or security risk) or if required by laws or regulations, or for any event or circumstance beyond our reasonable control. 

We also reserve the right to postpone, alter, modify or cancel any activity, event, race or run for any reason which we consider appropriate (which may include, in our discretion, bad weather, security risk, requirements of laws or regulations, or events or circumstances beyond our reasonable control. However, we will endeavour not to do so without good reason. 

Please see paragraph 9 to see if you will be entitled to any refund.

b.          It is your responsibility to check that the Event, any event or activity and/or extra pre-booked activity has been cancelled, rescheduled or altered. Information on such matters will be made available as soon as reasonably practicable on our website and/or at the Event venue. Please note that the website cannot always be updated immediately and that circumstances giving rise to cancellation, postponement or alterations can sometimes arise immediately prior to an event or activity.

7. Personal Data, Filming, Photography & CCTV

a.       Any photos, videos or other content that you make at the Event are for personal use only and cannot be published or used for any commercial purpose without our prior written consent. You cannot carry out commercial, promotional and/or trading activities at, or in association with, the Event or our brand without our prior written permission. Unauthorised photography, video, audio recording and/or transmission of the Event, the participants, trainers, service providers or performers for professional or commercial purposes or for financial gain is strictly forbidden. 

b.       Professional audio and imaging equipment are not allowed on the Site without our authorisation.

c.       During the Event, photos and videos may be taken by us and our agents, where you may be captured participating in activities or more generally at the Event. By attending the Event, you agree that these photos and videos can be used by us and our affiliates, sponsors and third-party vendors, without prior notice or compensation, including on our website, on Instagram and in promotional materials or any other medium or outlet. You acknowledge that we have the full right to sell and/or profit from the commercial use of such photos and videos for the maximum period permitted by law. Further and more specific details are set out in our privacy policy.

8. Trading & Commercial Activity

You may not carry on any trading, marketing or commercial activity at the Event or on the Site without our written authorisation. 

9. Refunds

a.       Other than as a result of events beyond our reasonable control: 

·       In the event of a cancellation or postponement of the entire Event, you will be entitled to a full refund of your ticket price. 

·       Where a cancellation or postponement of the entire Event takes place part-way through the Event, you may only be entitled to a partial refund for the ticket which shall be determined at our reasonable discretion based on the proportion of the Event which is cancelled or postponed.

·       Where there is a material alteration to the Event, you may be entitled to a partial refund (which we will determine at our reasonable discretion) on the basis of the significance of the alteration. Material alteration means a change which, in our reasonable opinion, makes the Event materially different to the Event which purchasers of the ticket could reasonably have expected. Changes to run or performance times of individual activities shall not be considered a material alteration. A material alteration shall be judged by reference to the nature and billing of each activity in the context of the Event as a whole and by reference to the overall theme rather than the individual act scheduled to appear or activity scheduled to take place.  We will endeavour to ensure that you are put in no worse position as the consequence of a material alteration.

c.          Except as set out above, you will not be entitled to a refund of your ticket price.

d.          The maximum amount of any refund will be the face value of your ticket.

e.          We will not be responsible for reimbursing the costs of personal arrangements including travel, subsistence and accommodation in relation to the Event, nor will we have any liability for any loss of enjoyment or wasted expenditure in the case of a cancellation, postponement or otherwise.

f.           Refunds will only ever be made to the person who purchased the tickets.

g.          No refunds will be given for tickets where you have chosen not to attend an event or activity or you fail to attend for reasons not caused by us.  

h.          If an extra activity which you have booked is cancelled or changes are made to the start time, event format or location, we will try to inform you and no refund will be made if the activity is rescheduled within the Event itself.

10. Liability

We don't compensate you for all losses caused by us or our actions and omissions. However, we will be responsible for losses you suffer caused by us breaking these Terms unless the loss is:

a.          Unexpected. It was not obvious that it would happen and nothing you said to us before we accepted your order meant we should have expected it (so, in the law, the loss was unforeseeable).

b.          Caused by a delaying event outside our reasonable control. As long as we have taken we contact you as soon as possible to let you know and do what we can to reduce or mitigate the delay, we will not be liable. 

c.          Avoidable. Something you could have avoided by taking reasonable action. 

d.          A business loss. It relates to your use of a product for the purposes of your trade, business, craft or profession.

11. Payment Plan Terms and Conditions

a.       Payment Plans Option: we may offer you the ability to pay for the tickets in instalments in accordance with a Payment Plan.  Please note that the Payment Plan option may not be available for all tickets.

b.       Payment Card: If a Payment Plan is available for your ticket and you elect to pay for the tickets through the Payment Plan, you acknowledge and agree that:

●           You must enter valid payment card details;

●           Our payment processing partner  will store your payment card details and will automatically deduct the relevant payment instalment from your card on each instalment date;

●           It is your responsibility to ensure that the payment card details remain valid and up to date.  You will have the opportunity to change your payment card details through your account, but you must do this before payment of the next instalment becomes due.

c.       Failed Payments: If a Payment Plan has been setup, we will automatically take payment of the instalment on each payment date within the Payment Plan. It is your responsibility to ensure payments do not fail, but notwithstanding this obligation if a payment attempt fails for whatever reason (e.g. card has expired, is no longer valid, insufficient funds or card is declined by the bank), then we will:

●     Give you notice of the failed payment attempt advising you that we will try to take payment again in 7 days, giving you the opportunity to correct the situation;

●     If the payment attempt fails again, we will send you a second failed payment notice and repeat the process at paragraph (a);

●     If the payment attempt fails for a third time, we may at our discretion cancel the booking by giving you written notice.

d.       Changing Payment Card Details: If your payment card has expired or no longer valid (e.g. because you have changed banks), you can change the details of your registered payment card through your account.

e.       Cancelling a ticket order: Our Cancellation Policy applies to any cancellation by the will may lose your deposit as well as any previous instalments that you have paid through the Payment Plan if you cancel your booking at a later date.

12. Resale of Tickets

a.       You are only able to resell or exchange your ticket(s) via our website. Any tickets resold or exchanged other than on our website will not be valid. However, we reserve the right not to allow any resale or exchanges on our website in our discretion.

b.       If we provide a facility for you to resell your ticket(s), you can select on your account to resell one or more tickets. Your ticket/s will be listed as “Resale: Festival Ticket” and can be purchased at the current selling Tier. If sold, you will receive back the ticket’s face value you paid without the booking fee. Once sold, you will receive an email notification to confirm it has been resold and your refund is processing.

c.       Please keep in mind:

●        Only the lead booker can resell tickets in a booking;

●        This option is only valid for full paid Event tickets and not Payment Plan ones (unless they have been fully paid). Your ticket must be fully paid before you can put your ticket(s) up for resale;

●        The ticket will enter a queueing system. We do not guarantee that the ticket/s will be sold.

d.          Ticket transfer and resale will only be available for a limited period. Details will be on our website.

e.          We only authorise reselling via the Easol platform (our only ticket agent). Any tickets resold in other non-authorised reselling platform are not valid for entry. Why? To ensure a secure and reliable resale process. To avoid tickets touting so you won’t be scammed/sold a ticket twice or a fake one! 

13. Specific Requirements for Access

a.       We offer one free ticket for a personal assistant to accompany a ticket holder with special access requirements. We will require you to provide valid documentation of your accessibility requirements before issuing the P.A. free ticket. Please contact us via the “Contact us” page on our website for details of valid identification.

b.       If you have access requirements, please contact us as far in advance of the Event as possible. If you have not notified us of your access requirements in advance we cannot guarantee that we will be able to cater to your needs though we will use reasonable endeavours to do so.

c.       Please see our accessibility policy for further information.

14. The Event – General Rules

a.          We reserve the right to refuse you entry to and/or eject you from the Event provided we have a good reason to do so. This reason may include any of the following reasons: for health and safety or licensing reasons; if you behave in a manner which has or is likely to affect the enjoyment of other persons at the Event; if you use threatening, abusive, offensive, discriminatory, defamatory, obscene, ethnically or racially offensive, illegal or insulting words or actions; if, in our reasonable opinion, you are under the influence of alcohol or drugs; if you fail, when required, to produce proof of identity or age; if you refuse to comply with our security searches; if you breach these Terms; and/or if you are unable to produce your ticket when asked or your ticket is void.

b.          If before or during the Event you have a complaint in relation to the Event, please contact one of our staff, a run steward or a steward promptly since complaints are very difficult to deal with after the Event.

c.          You must comply with any and all instructions given to you by our staff, and/or stewards and staff at the Event.

d.          Whilst every effort is made to ensure that the full, advertised billed performances take place, the Promoter reserves the right to change the published bill and/or running times without notification. This includes, but is not limited to, run times, artists and billed attractions. Tickets are for the Event in its entirety and not any specific run or musical act.

e.          Any published start and finish times of a performance or activity at the Event is an estimate only and subject to change at our discretion.

f.           All guests must observe and comply with safety advice, site signage and ‘No Smoking’ areas. In accordance with Smoke-Free Regulations, the tented arenas and other areas of the Site are designated ‘No Smoking’ areas. Normal statutory rules and regulations apply and should be observed at the Event and failure to do so may result in ejection from the Site and/or Event.

g.          You shall not bring into the Event or display or distribute (whether for free or not) at the Event any sponsorship, promotional or marketing materials.

h.          Strobe lighting, lasers and smoke / haze effects and other special effects may be used in some performances.

i.            Ticket Holders accept that there may be loud music and that it can damage hearing.  Attendance at events where loud music is or may be played is accordingly at your own risk.

j.            The Event is an outdoor event. Please bring suitable clothing and footwear. No refunds will be given due to inclement weather provided we do not cancel the Event (in which case see paragraph 9 for information on refunds).

k.          You are responsible for your own personal effects and equipment. We do not provide any security or safe areas for effects and equipment and we will not accept responsibility for any damage or loss (including theft). Please take good care of your effects and equipment at all times.  

l.            You must not exceed 5mph when driving in campsites. 

m.         You must remove your tent, roll mat, mattress and any other camping equipment at the end of the Event.

n.          You must not litter, trespass on property outside the Event and comply with the Countryside Code. 

o.          You must not interfere with our or any 3rd party’s property, including any signs, posters, markers, decorations, advertisements or other materials. 

15. Camping

a.       Campers may only pitch tents in designated camping areas and must stay out of fire lanes and other working areas.

b.       All items are brought and left at your own risk.

c.       You must be respectful of other campers.

d.       We reserve the right to eject from the camping area and/or refuse entry to any individuals who do not comply with these rules or is otherwise a nuisance or danger to other campers.

e.       You may not sleep in cars or under campervan awnings. You may not pitch your tent in spaces allocated to campervans. No campervan may exceed the size given on the ticket.

16. Activities, Events, Races, Runs, Experiences 

a.          You understand that some of the activities, such as trail runs, experiences, water-based activities and races, may be on uneven, slippery and unforgiving grounds, and conditions may be difficult. While we will carry out a risk assessment of running routes and general conditions (and will cancel the event if we consider it too risky), you are responsible for assessing if you have the fitness, skills and competence for the activity and conditions. 

b.          Where an event or activity is inherently risky, such as canyoning, kayaking or paragliding, we (or the third party provider) will require you to enter into a waiver of responsibility form before you can participate. Any participation will be at your own discretion and risk.

c.          You take part in the “beer mile relay” at your own risk. Please drink within your limits.

d.          You may need to book a place on activities, events and races where they have a maximum capacity. Other activities, events and races do not have a maximum capacity and you do not need to book a place. We will do our best to identify which activities, events and races need to be booked. 

e.          Please arrive 15 mins prior to the start of any runs, activities or races that you are booked onto. If you are late for a run or activity, the group will not be able to wait. If you miss a run, event or activity, you will NOT be entitled to a refund. 

f.           We may need to make changes to schedules and contents of events and activities at short notice. We will do our best to provide notice of any changes but you should always check that the activities or events are going ahead at the scheduled date, time and venue via the Event website or on Site during the Event.

g.          Some of our guided trail runs are led by our staff, volunteers, brand staff and others. We are not able to carry out checks on all run leaders at the event (except for our own Love Trails run leaders) and are therefore not responsible for them. Please use your judgement as to whether to follow the instructions of a run leader.  

17. Bringing Your Own Alcohol On-Site

a.       No glass is allowed on the Site and bag searches at entry and during the Event will enforce this. Please decant any drinks before you arrive at the Site. 

b.       Alcohol purchased off-Site is allowed to be consumed in a campsite, but isn't allowed in the main festival arena/village. Please note that in the main festival arena/village, we reserve the right to confiscate any alcoholic drinks not purchased at Event. We will not return the alcohol to you when you leave the site or for refunding any costs incurred by you.

c.       Drunkenness and/or disorderliness on Site is not permitted. We reserve the right to eject and refuse re-entry to anyone who is found to be drunk and/or disorderly.

18. BBQs and Open Fires

a.       Under no circumstances are BBQs or Open Fires allowed anywhere on-site. Please DO NOT attempt to bring any BBQs on-site. Security on patrol have been instructed to put out any fires or BBQs in the campsites immediately.

19. Third Party (non-Love Trails) Suppliers

a.       Some of our events, facilities, activities and workshops are provided by third parties. While we take reasonable care in selecting appropriate third party suppliers, we do not monitor or control them and we are not responsible for them. The following are some of our third party suppliers:

·       Glamping, provided by Tee &Toast Glamping

·       Hot tubs and saunas on the Site

·       Any adventure activities carried out off the Site. You can book with us but we are acting as agent for the supplier who will be responsible for the activity

·       Salomon, Passenger Clothing and Lumi.

b.       Where you book an activity or event supplied by a third party supplier, the supplier will be responsible for providing the activity or event. Where you book an activity or event supplied by a third party, we will be acting as the supplier’s agent for booking the activity or event but will not be responsible for providing the activity or event itself.  

c.       We will not carry out a risk assessment where we are not responsible for providing the event, facility, activity or workshop, including those provided by third parties. This will include all  events, facilities, activities and workshops which are provided by someone other than us and/or pay a separate fee (even if you book via us or our website). Where an event, facility, activity or workshop is provided by a third party supplier, they will be responsible for carrying out a risk assessment and determining if it is safe. 

20. Medical

a.       Some of our staff are medically or first aid trained. However, you are responsible for your own health and well-being. We provide limited medical and first aid facilities. Please ensure that you are fit enough to participate in your chosen activities.

21.    Parking and Leaving

a.          We are not able to easily accommodate movement of cars in our car park. Accordingly, please think twice before moving your car, until you leave the Event (and go home), except in an emergency. 

22. General

a.       You have several options for resolving disputes with us

·       Our complaints policy. Our Customer Service Team: hello@lovetrails.com will do their best to resolve any problems you have with us or our products as per our Complaints policy.

·       Resolving disputes without going to court. Alternative dispute resolution is an optional process where an independent body considers the facts of a dispute and seeks to resolve it, without you having to go to court. 

·       You can go to court. These terms are governed by English law and wherever you live you can bring claims against us in the English courts. If you live in Wales, Scotland or Northern Ireland, you can also bring claims against us in the courts of the country you live in. We can claim against you in the courts of the country you live in.

b.              Other important terms apply to our contract

·       We can transfer our contract with you, so that a different organisation is responsible for supplying your product. We'll ensure that the transfer won't affect your rights under the contract.

·       You can only transfer your contract with us to someone else if we agree to this. 

·       Nobody else has any rights under this contract. This contract is between you and us. Nobody else can enforce it and neither of us will need to ask anybody else to sign-off on ending or changing it.

·       If a court invalidates some of this contract, the rest of it will still apply. If a court or other authority decides that some of these terms are unlawful, the rest will continue to apply.

·       Even if we delay in enforcing this contract, we can still enforce it later. We might not immediately chase you for not doing something (like paying) or for doing something you're not allowed to, but that doesn’t mean we can't do it later.
